Now answering for HVAC companies nationwide
What I Do
I'm Bob, your real virtual front desk, trained on your business — your services, your service area, how you talk to customers. I sit wherever a customer might reach out, have the conversation, and hand you a booked job. Here's the whole flow:
01
The moment someone opens a chat from your website, taps through from Facebook, Instagram, or your Google Business Profile, or texts your business line, I reply in seconds — nights, weekends, holidays. No hold music. No voicemail. No "we'll call you back."
02
I ask what a good dispatcher would ask: what's broken, how urgent, what kind of unit, what address. By the time I loop you in, the job is already scoped.
03
Once I have what I need, I put the appointment straight onto your calendar and send you the summary. You wake up to booked work, not a pile of messages to sort through.
04
No app, nothing to log into. I run as your website chat — reachable from a Facebook or Instagram bio link, your Google Business Profile's Website button, a missed-call text-back, or nothing more than a simple link or a QR code on a truck, invoice, or yard sign.
05
Once it's booked, I keep the follow-through automatic: a reminder before the appointment, a heads-up when the tech's on the way, a booking confirmation and payment-reminder email, and later, a nudge to get back on the schedule for the next tune-up.
06
Once the job's done, I text (and email, if you've turned that on) the customer to rate the visit. 4–5 stars go straight to Google or Facebook — anything lower comes to you privately, before it's ever posted.
The Math
I only need to save you one job a year to pay for myself. Everything after that is money you would've otherwise lost.
See It From Both Sides
See It In Action
One walkthrough, both sides — what your customer experiences when they message you, and what shows up on your end while you're not looking.

For The Business Owner
Customers only ever talk to me. Behind the scenes, you get a live dashboard of every lead, booking, and review I've logged — the same one you'd check from your phone between jobs. Here's what that looks like, tab by tab.
Every job I book, synced to your real calendar and grouped by day — who's on it, and where things stand. Mark a job Complete and I prompt you right there for what to do about payment: send a reminder by text or email, mark it already paid, or skip.
Every conversation I have — on the website, by text, on Facebook — lands in one list. Tap any one to read the full conversation.

Every customer in one place — their full job history, every conversation, and exactly where their review request stands. Tap a name to see everything.
Job history: Aug 24 — AC Tune-Up (Complete) · Jun 2 — Thermostat Install · Jan 14 — No-Cool Emergency
Review: rated 5★, opened Google's review page Aug 24, no confirmation yet — next check-in Aug 31.
Job history: Aug 25 — No-Cool Emergency (Complete) · Mar 11 — AC Tune-Up
Review: rated 5★, self-confirmed posted to Google on Aug 25.
Job history: Aug 23 — Annual Maintenance (Complete)
Review: rated 5★, tapped “No thanks” on the first reminder — no further review reminders sent for this job.
Job history: Aug 24 — Thermostat Install (Confirmed, not yet complete)
Review: request goes out automatically once the job's marked complete.
Not every lead books right away. I flag the ones that went quiet so you know exactly who to call back, and why.
Tip: Leads lost to price hesitation convert 3× better with a same-day callback that mentions financing.
The first thing you see when you log in — how many leads I brought in, how many turned into booked jobs, how many texts and emails went out on autopilot, and anything that still needs your attention.
Leads by day — hover a day for the count
3 conversations need a human. One pricing question I couldn't answer, and two reschedule requests — all waiting in Conversations.
See exactly which reviews I let go public and which I kept private — resolve a private one once you've made it right with the customer, and set your own reminder timing below. I'll also text you a quick digest every Monday so you're never stuck digging through the dashboard to know where things stand.
“Fast callback, same-day repair, very professional.” — Priya M.
“Technician was late and didn't call ahead.” — James D.
“Coastline weekly digest: 6 review requests sent, 4 posted, 1 reminder pending (Angela K. — final nudge Thu), 1 declined. Details: app.hellobob.com/reviews”
Every text I send is logged and classified, one consent from the customer covers reminders, on-my-way alerts, invoices, and review requests together, and nothing goes out during quiet hours or past your state's extra limits — so you stay covered without having to think about it.
One consent covers the full transactional bucket above so nothing goes out that wasn't named when the customer said yes; promotional messages always need their own separate opt-in and never ride on transactional consent. Classified automatically so nothing goes out during quiet hours or without consent — and every opt-out is honored the moment it comes in, however it's worded.
Beyond The Website
I can sit behind any link you hand a customer — a bio link on social media, or a text you send when nobody could get to the phone. I also keep in touch through the whole job with reminders, and follow up after to collect reviews and bring customers back for their next service.
The core version — me, as a chat bubble embedded directly on Coastline's own website. Click through below; it's the real thing, not a screenshot.
Licensed & Insured · Locally Owned
Schedule ServiceFor most "HVAC near me" searches, Coastline's Google listing gets seen before their website does. Their listing's Website button leads straight to me — catching the highest-intent moment in the whole search, with nothing extra to set up on Google's end.
Nobody picked up the phone. Coastline's number automatically sends one quick, no-spam text back with a link to me instead of leaving them with nothing but a missed call — and since that same number can take a call back too, nobody ever hits a dead end.
Once a job's marked complete, I text the customer automatically — only the ones who said yes to text updates when they booked — and ask them to rate the visit. 4–5 stars get a one-tap link to post on Google or Facebook themselves; anything lower comes straight to you, privately — nothing gets posted. If a happy customer doesn't confirm they left it, I follow up once after 2 days and once more a week later (both adjustable in your dashboard), then I let it go — no third nudge. Reminders pause if they're mid-conversation about something else, and you can mark a review posted yourself anytime to stop them early.
Illustrative preview — this page is hosted and controlled entirely by Google, not HelloBob. The customer signs in, picks their own rating, and posts it themselves.
Once a job's booked, I keep the customer in the loop on my own — a reminder the day before, then a heads-up the moment the technician's on the way. No dispatcher has to remember to send it.
Six months after a tune-up — or whatever cadence you set — I reach back out on my own, before the next breakdown instead of after.
Coastline's Facebook Page links out from its Website field. A visitor scrolling the app taps straight through and lands right in a chat with me — no separate search required.
Coastline puts one link in their Instagram bio. A visitor taps it straight from the app and I take it from there — no website visit required.
A code on the service van, an invoice, or a door hanger left after a visit. Someone scans it with their camera and lands straight in a chat with me — no number to dial, no app to search for.
We stopped by for your scheduled visit. Scan to chat with us anytime.
I can send booking confirmations, payment reminders, and review requests straight to your customers automatically, using the email you have on file — no extra step for you. And every invoice or quote email you send yourself can still close with a link to me instead of just a sign-off. The same logic applies to paid traffic — sending an ad click to a live chat instead of a static contact form gets an answer back in seconds, not after a form sits in an inbox.

Setup
Send us your hours, pricing, and services — we configure me around your business, not a generic script.
A short snippet goes on your website. No developer, no new software to learn.
Every visitor gets an instant reply and a path to book — nights, weekends, and mid-job.
Every booking and captured contact lands in one simple dashboard, ready to dispatch.
Works With What You Run
I don't replace the field service software your team already dispatches from — I plug into it. Tell us what you run and we'll get you connected.
Integrations are built out one account at a time as customers come on board — let us know what you run at signup and we'll prioritize it.
A new caller becomes a real customer record in your system automatically — no re-typing names, addresses, or phone numbers.
Booked jobs land on the calendar you already run, assigned and ready, the moment I book them — not batched in later.
Booked, quoted, or missed — every conversation's result is written back to the job history your team already checks.
Why Me
AC failures don't wait for business hours. I'm always on, including 2am emergency messages.
I'm not just a message-taker — I put jobs directly onto your schedule, with the details your techs need.
I'm configured on real trade terms — diagnostics, tune-ups, refrigerant, emergency dispatch — not generic small talk.
No per-conversation metering, no surprise overage bill. You know exactly what I cost, every month.
When I can't fully resolve something, I still get a name and number before the visitor closes the tab — instead of nothing at all.
Send your hours and pricing, paste one snippet, and I'm answering on your site — no developer, no long onboarding.
State texting rules are a real, personal liability for a small business owner — I handle consent, quiet hours, and the extra limits certain states require automatically, so a new channel doesn't become a new risk.
Reputation
Once a job's marked done, I follow up automatically and ask the customer to rate it 1–5 stars. What happens next depends on the answer.
Job complete → automatic text: “How'd we do? Rate your visit 1–5 stars.”
I give the customer one tap to leave that review on Google or Facebook — sent right while the experience is still fresh, when they're most likely to follow through.
Builds your public ratingNothing gets posted. I send the feedback straight to you instead, so you can make it right with the customer before it ever becomes a public review.
Never posted publiclyWhy Now
This isn't a generic pitch. It's what's actually happening in HVAC right now, in every market.
What You're Really Paying For
Here's the math side by side — what HelloBob costs, what the alternatives cost, and what it costs to do nothing.
About $3.30 a day. Less than a large coffee — and Bob never calls in sick, never takes a lunch break, and never misses the 2am call.
Typical ranges for a live answering service and part-time front-desk help — actual rates vary by provider and market.
The real cost isn't HelloBob. A typical HVAC service call runs $300–$400. Miss just one job this year to a competitor who answered first, and you've already lost more than a full year of HelloBob.
Pricing
No per-conversation fees, no tiers to guess between. Everything you need to stop losing leads, for one price.
Common Questions
Yes. I'm configured with your real hours, pricing, and services before I ever talk to a customer — not a generic script shared across every company using me.
I capture the customer's name and number and hand the conversation to you directly, instead of letting them leave with no way to follow up.
No. You send us your business details, we configure everything on our end, and you paste one short snippet into your website — that's the whole setup.
We email you a login link for app.hellobob.com right after you sign up, sent to the address you gave us during setup — from there you just log in whenever you want to check leads, bookings, or reviews.
I cover a different channel entirely — the visitors who'd rather type a question on your website than make a call. I run alongside whatever phone setup you already have; nothing about your phones needs to change.
No. It's the same $99/month whether you're a one-truck outfit or running a full fleet — pricing isn't based on the size of your business or how many systems you service.
I don't replace the field service software your team already dispatches from — I plug into it. ServiceTitan, Housecall Pro, Jobber, FieldEdge, and more — tell us what you run at signup and we'll get it connected, so every booked job and contact lands right on the board your team already checks.
No contract. HelloBob is billed month to month at one flat rate, and you can cancel anytime.
Yes — I can be configured to answer in English or Spanish. This site itself has an EN/ES toggle in the top navigation, so you can see exactly how that looks before you sign up.
Of course — check out the See It In Action tab above. You can click through real ways customers reach me: website chat, Google Business Profile, missed-call text-back, review follow-up, Facebook, Instagram, QR codes on your trucks, and more.
Yes, when it's done right — and that's exactly what I handle. I only text customers who said yes, I keep reminders, on-my-way alerts, invoices, and review requests under one clear consent instead of asking five separate times, I respect quiet hours, and in states with extra texting rules (Florida, Oklahoma, Washington, Maryland, Connecticut, Texas, New York) I automatically apply the tighter limits those states require. You don't have to become a compliance expert to use me.
